PLC e-Portfolio Part 5: Organizational Structure Design



Viviendas y Proyectos S.A. is a Real Estate company where I worked for the last eighteen years. It is a family business, established in Medellin, Colombia more than thirty years ago.

The mission is defined in a few words "few, but well done". With this they express their intention to create spaces that materialize the dreams of people or communities, but without being a company that creates massive products.

In my experience, working with this company, I was able to verify how they always work with transparency and integrity, as well as with a constant interest in providing security and trust to their clients. They have always sought excellence and have managed to be recognized internationally for the quality of their projects.


Analysis of external environmental factors:

Political: The traditional parties have led the country for as long as I can remember. Now, Colombia has a president who is contrary to these parties and unfortunately, he is leading Colombia to go through an institutional crisis, which surely puts the stability of private companies at risk.

Economic: Economically, the company has a good name in the field and this means that, despite situations triggered by political situations, such as demonstrations, strikes, etc., they are not fully reflected in the sales of their projects.

Social: The company has always been focused on a medium-high social stratum. This is good because Colombia has improved its quality of life and this is observed precisely in the families that are in these strata, which now have easier access to things than before.

Technological: The company has tried to stay up-to-date when it comes to technology. After evaluating many alternatives, they invested in ERP software with which they will be able to manage the entire real estate business, from promotion and sales, portfolio and accounting, going through the legal, control and construction of the projects.

Environmental: The company has always been a pioneer in building environmentally sustainable projects and building projects with LEED certification.

Legal: In this sense, the company has an internal lawyer who tends to ensure that all the acts of the company are followed under the legal guidelines and responsibilities of external and internal clients.


Regarding the internal environment of the company, it should basically focus on the following:

1. Goals: The Company must set clear and realistic goals for the business environment. These goals should include having a land bank, to develop more projects in the future or expand the geographic scope. Likewise, preserve the good name of the company by not neglecting the indicators of customer satisfaction.

2. Characteristics of the tasks: It is important to continue with good administrative and portfolio management, as well as to think about creating an independent housing rental department.

3. Growth cycle: It is important to consider expanding market presence, hiring additional staff, implementing efficient technology and systems, and diversifying services or markets.

Unfortunately, the current structure does not have a Corporate Governance that helps decision-making. Without an external Board, which helps direct the decisions that impact the future of the company, the important decisions remain only in the hands of both owners. Additionally, the company does not have a human resources department, which makes the environment within the company even more difficult, since labour-related decisions end up being permeated by the differences between both owners.


Proposed organization chart:

I think that for Viviendas y Proyectos, being a small family business, the functional structure provides benefits such as:

1. Clarity: The functions of each person are well defined, avoiding confusion and knowing who does what.

2. Specialization: Each department focuses on its specific area, which allows employees to specialize and do their jobs more efficiently.

3. Coordination: Employees within each department work together, making it easy to communicate and coordinate among them.

4. Agile decision-making: The leaders of each department have the authority to make quick decisions without the need to consult with many people.

In conclusion, I think that the type of functional structure helps a company like Viviendas y Proyectos to improve clarity, efficiency, fluid communication and faster decision-making.
